1. Introduction
IntentNote ("we", "us", or "our") is an AI-powered note-taking application developed by AlienPeoples. This Privacy Policy explains how we collect, use, and protect your personal information when you use our application ("App").
By using IntentNote, you agree to the practices described in this Privacy Policy. If you do not agree with this policy, please do not use the App.
Age Requirement
IntentNote is intended for users aged 16 and older. We do not knowingly collect personal information from anyone under 16. If we discover that we have collected information from a child under 16, we will promptly delete it.
2. Information We Collect
2.1 Account Information
When you sign in, we collect the following through Google Sign-In or Apple Sign-In:
- Display name and email address
- Profile photo URL (if available)
- Authentication provider identifier
2.2 User-Created Content
Content you create within the App, including:
- Notes (text content, titles, metadata)
- Projects and organizational structures
- Todo items, lifelong goals, and inspiration entries
2.3 Device and Technical Information
- Device identifier (for multi-device sync and device limit enforcement)
- Device model, OS version, and app version
- Crash reports and performance diagnostics
- FCM token (for push notifications)
2.4 Usage Analytics
We collect anonymized usage data to improve the App:
- Feature usage patterns (e.g., which note types are most popular)
- App engagement metrics (session frequency, active days)
- Subscription and purchase events
2.5 Subscription and Billing
- Subscription tier and status (Free, Basic, Pro, Max)
- Purchase tokens and transaction identifiers
- AI credit usage count
- Subscription receipts (validation tokens) received from Apple App Store / Google Play, used to verify subscription state and prevent fraud
Note: We do not collect or store payment card details. Payment processing is handled by the platform or payment provider used for your purchase, such as Google Play, the Apple App Store, or web payment providers.
3. How We Use Your Information
- ✓ Provide core functionality: Store, sync, and manage your notes across devices using cloud sync (CRDT-based conflict resolution)
- ✓ AI analysis: When you request AI analysis, your note content is sent to our AI service to provide insights, suggestions, and analysis results
- ✓ Account management: Authenticate your identity, manage subscriptions, and enforce tier-based limits
- ✓ Notifications: Send daily inspiration content and important app updates
- ✓ Improve the App: Analyze usage patterns and crash reports to fix bugs and enhance features
- ✓ Subscription optimization: Evaluate feature presentation and paywall effectiveness to improve user experience
Legal Basis for Processing
We process your data based on: (a) contractual necessity to provide the App's services, (b) your consent for optional features such as AI analysis, and (c) legitimate interests for improving the App and ensuring security. You may withdraw consent for optional features at any time.
Automated Decision-Making
We may use automated processing (such as A/B testing for feature presentation) to optimize user experience. These processes do not produce legal effects or similarly significant decisions about you. AI analysis results are provided as suggestions only and do not restrict your use of the App.
4. AI Processing and Note Analysis
IntentNote uses AI to enhance your note-taking experience. Your note content may be sent to third-party AI providers (Anthropic, Google, OpenAI) through our server (Firebase Cloud Functions) in the following cases:
4.1 Automatic Features
- Auto title generation: When you finish typing, your note content is automatically sent to generate a suggested title
4.2 User-Requested Features
The following AI features are only activated when you explicitly request them:
- Note analysis and insights (deep analysis, keyword extraction, summary)
- Lifelong goal analysis and progress tracking
- Inspiration expansion and todo structuring
4.3 AI Analysis and Data Processing
IntentNote's AI analysis may use a variety of AI models, both in-house and from third parties, selected per task based on quality, availability, and safety.
- Your note content is sent to our server (Firebase Cloud Functions) for processing
- As of this policy date, processing via third-party models is routed through the following providers: Anthropic Claude, Google Gemini, and OpenAI. Content is transmitted externally only when a third-party model is used
- Content processed by our in-house models is not transmitted to any third party
- AI results are returned to you and stored with your note
- Third-party providers do not use data sent via their APIs to train their models
4.4 AI Request Logs (Service Quality & Debugging)
- To improve service quality and diagnose abnormal behavior, we retain your AI requests and responses for up to 30 days
- Retained data: the note content submitted, the AI response, and technical metadata (model name, tokens, latency, errors)
- Stored on Firebase Firestore (GCP asia-northeast3) with KMS encryption. Not used to train AI models
- Only authorized administrators can access, and every access is recorded in an audit log
- All entries are automatically deleted after 30 days

5. Data Storage and Security
We take the security of your data seriously and implement the following measures:
- Local storage: Notes are stored on your device using an encrypted local database
- Cloud sync: Data is synced via Google Firebase Firestore with encrypted connections (HTTPS/TLS)
- Session security: Authentication sessions are stored using AES-256 encryption (EncryptedSharedPreferences)
- Server infrastructure: All server-side processing runs on Google Cloud Platform with industry-standard security

IntentNote uses the following third-party services:

7. Data Retention
- User content: Your notes and projects are retained as long as your account is active
- Deleted content: Soft-deleted notes are permanently removed during the next sync cycle or upon account deletion
- Analytics data: Anonymized usage data is retained for up to 14 months (Google Analytics default)
- Crash reports: Retained for 90 days
- AI processing data: Note content sent to AI providers is processed in real-time and not retained by AI providers after processing
- AI request logs: Retained for 30 days for service quality and debugging, then automatically deleted
- Account deletion: When you delete your account, all associated data (notes, projects, settings, sync data) is permanently deleted from our servers
8. Your Rights
You have the following rights regarding your personal data:
- Access: View all your data within the App at any time
- Modification: Edit or update your notes and profile information
- Deletion: Delete individual notes or your entire account from the App settings
- Data portability: Export your notes as text
- Opt-out of AI: User-requested AI features (analysis, deep analysis) are only performed upon your explicit action. Auto title generation can be disabled in settings
- Notification control: Manage push notification preferences in your device settings
Region-Specific Rights
- EEA/UK (GDPR): You have the right to request access, rectification, erasure, restriction of processing, and data portability. We respond within 30 days. Contact: support@intentnote.com
- South Korea (PIPA): You have the right to withdraw consent and request suspension of processing. We will process requests without delay.
- Japan (APPI): You have the right to request disclosure, correction, deletion, and suspension of use of your personal information.
9. International Data Transfers
Your data may be transferred to and processed in countries other than your own, including the United States, where our cloud infrastructure (Google Cloud Platform) and AI service providers (Anthropic, Google, OpenAI) are located. These transfers are necessary to provide the App's core functionality.
10. Data Breach Response
In the unlikely event of a data breach that affects your personal information, we will:
- Notify affected users within 72 hours of becoming aware of the breach via email and/or in-app notification
- Report the breach to relevant regulatory authorities as required by applicable law
- Take immediate steps to contain and remediate the breach
- Provide information about the nature of the breach, data affected, and recommended protective measures
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes, we will notify you through the App or by updating the "Last Updated" date at the top of this page. Continued use of the App after changes constitutes acceptance of the updated policy.
